Volusia County Schools identifies W-2 reporting error

The district stated in a news release that it is taking full responsibility for the error and deploying a remediation plan.

About 7% of Volusia County Schools employees had an error in their 2025 W-2 tax forms, an error identified by the school district itself during an internal review, according to a news release on Monday, April 20. 

The error was during last year's payroll system migration from the district's last enterprise resource planning system; the district has shifted from CrossPointe to Focus, with a full implementation scheduled to be complete by July 1. 

“Many of the people who received this letter are teachers, support staff, and district staff who show up every single day for our kids," Superintendent Carrmen Balgobin said in the news release. "They don’t come to work expecting to deal with a tax problem we created. That weighs on me personally. I acknowledge the responsibility and assure you that corrective actions are being taken promptly. All affected employees will receive comprehensive support throughout this process.”

The error is limited to W-2 reporting only. The district reports that the transfer of the historical payroll data was accurate, but "a gap in the W-2 generation process caused certain deduction records to be excluded from Box 2 of affected employees’ forms."

The district stated in the news release that affected employees are being made whole at zero personal cost to amend their W-2s. Corrected forms are being mailed or are available for pick-up at the DeLand Administration Complex through April 24, from 7:30 a.m. to 6 p.m.

The district is also offering free tax amendment services through Fix It Accounting. If the employee chooses to use their own accountant, VCS is offering up to a $150 reimbursement; employees should submit receipts to [email protected].

It will also cover any penalties by the IRS and access to Addition Financial for those who need short-term financial help. 

Volusia County Schools has engaged an independent third-party contractor to conduct a full audit of the ERP migration and payroll processes," the news release states. "That work is already underway to identify every gap and implement safeguards that ensure accuracy going forward."
